For your convenience, a number of hotels have been selected as the official IWMC 2012 Hotels, and special rates have been obtained. Prices vary from ZAR 626.00 to ZAR 2200.00 per room per night dependant on your preferred category.

There are more than 3000 rooms within a short distance of the Durban International Convention Centre (ICC) offering budget to luxury accommodation.

IWMC 2012 has organized a selection of hotels with excellent room rates to Congress delegates, most of which is within easy access and a short commuting distance from the Convention Centre. As in any city, there is accommodation advertised which may not be suitable for a number of reasons, so if you decide to book your own accommodation, why not seek our advice before booking, and anyway, inform us of your location as we may be able to give useful advice on a range of issues.

Transactions are conducted in ZAR and amounts could fluctuate due to changes in the exchange rate.

All accommodation rates quoted are per room per night, including bed and breakfast. These rates include VAT at 14% and the National Tourism levy of 1%. All extras are for the delegates own account and to be paid directly to the hotel.

All accommodation is booked on a first come, first served basis, subject to availability.

Please note that Road Lodge hotel does not have 2 separate beds per room, there is only one double bed per room should you wish to share.

Delegates not staying at the official congress hotels will need to provide their own transport to the congress venue.
The Congress is being held during a peak period and as such accommodation is limited. It is strongly recommended that accommodation is booked and paid for as soon as possible to confirm your reservation.

Accommodation booked must be pre-paid in full by 1st April 2012. All bookings thereafter are to be paid for on receipt of invoices.

No accommodation bookings will be confirmed or guaranteed without full pre-payment.

Check in at 14h00 and check out at 10h00.

Bank charges will be for the delegates cost.

The Congress Secretariat acts as an agent only in securing hotels, transport and travel services, and shall in no event be liable for acts or omissions in the event of injury, damage, loss, accident delay or irregularity of any kind whatsoever during arrangements organised through contractors or by the employees of such contractors. Hotel and transportation services are subject to the terms and conditions under which they are offered to the general public. Delegates should make their own arrangements with respect to personal insurance. The Congress Secretariat reserves the right to make changes as and when deemed necessary, without prior notice to the parties concerned. All disputes are subject to resolution under South African Law.

Airport Transfers

Durban’s King Shaka International Airport is located 30km from Durban and is 30 minutes from the ICC Durban.

A Hospitality desk will be set up at King Shaka International Airport to meet and assist all Delegates arriving off their flights.  This Desk will be open prior to the commencement of the Congress and will be manned from the first flight to the last flight.  We will assist you and direct you to your airport transfer to all official Congress Hotels on a hourly basis. The cost per person per trip is R 280.00.Should you require an airport transfer, kindly complete the relevant section on the Accommodation Booking form and please supply all flight details.

Drakensberg World Heritage

As if the stunning mountain scenery of the Drakensberg Mountains were not enough, our visit to the World Heritage Site of Giant’s Castle incorporates a viewing of the enigmatic Bush-man paintings.

  • Enjoy a 3km round trip hike to the site of the caves adorned with the Bushman’s legacy (average level of fitness required).
  • Guided tour of the Bushman paintings, dating back 2 000 years.

Cancellation Fees

 Notifications of Cancellations must be received in writing and the following penalties, calculated as from the date of receipt of notice, will apply:  

Cancellation before 11 June 2012

25% (twenty-five percent) of the price advertised.

Cancellation before 22 June 2012

50% (fifty percent) of the price advertised.

Cancellation before 25 June 2012

100% (one hundred percent) of the price advertised.

All refunds will be processed after the Congress and on receipt of a written request sent to the Congress Organizers, The Conference Company.

Tours will be conducted in English only and will operate on the specified dates only. 

All tours are based on a minimum of 4 passengers per tour. In the event that the minimum number of passengers is not reached, the tour will be cancelled and payment will be reimbursed after the congress


Meals included are as specified in the tour itinerary. Please check the applicable itinerary for details.


Transportation is in air- conditioned touring vehicles, coaches, minibuses or sedan vehicles appropriate to the requirements of the tour. The tour operator therefore reserve the right to use smaller coaches, minibuses or sedan vehicles on its scheduled tours should the number of passengers participating reduce sufficiently to warrant this.

Check in Time

Passengers shall check in at all departure points at least 30 minutes before the scheduled departure time. The Conference Company does not accept responsibility for any passenger who fails to comply with this condition.
